Job Description : OPERATIONS HEAD KENYA Reporting to the Chief Executive Officer, the Head of Operations will be responsible for overseeing and managing the company's overall Production, Production Planning, Engineering, and Projects Management in order to maximize process efficiency and productivity. Strategy · Plan and implement the overall operations strategy. · Determine key Operations KPIs. · Plan and develop the Operations budget · Align the Operations Strategy with the Business Strategy · Organize, direct, manage and evaluate the personnel, operations and budget of Phantoms Operations. Operational Efficiency · Coordinate supply chain activities with all other functions of the organization to obtain optimum production and utilization of human resource, utilities and equipment with high efficiency. · Review production and operation reports and direct resolution of operational, manufacturing and maintenance problems to ensure minimum costs and prevent operational delays. · Ensure all established costs, quality and delivery commitments are met as per budget as well as preparation of budget estimates. · Evaluate current operational systems, recommend and coordinate needed changes based on process analysis. · Propose improvement in terms of machinery, cost cutting, factory lay out and overall performance of the manufacturing activity. · Develop, monitor and continuously improve the KPIs for achieving operational excellence. · Provide guidance to the development of a manufacturing process plan, including personnel requirements, material needs, subcontract requirements and facility needs. · Evaluate and implement operational excellence system in the company such as Kaizen. Procurement · Identify and manage risk within the Operations by addressing tactical and strategic Operations issues. · Oversee organization wide management of the strategic sourcing, procurement, contracting, and evaluation of vendors and services · Cultivate and manage vendor relationships · Manage and / or execute procurement related functions (e.g., develop and implement contract management and procurement frameworks, sourcing strategies, negotiate agreements, draft and manage contracts, etc.) · Oversee the return of non-conforming purchased items · Ensure appropriate stock level strategies are followed and avoid wastage. Production · Design policies that align with overall strategy · Implement efficient processes and standards to achieve high levels of production efficiencies and quality standards · Evaluate risk and lead quality assurance efforts · Oversee expenses and budgeting to help the organization optimize costs and benefits · Report on operational performance and suggest improvements · Ensure all established costs, quality and delivery commitments are met as well as preparation of budget estimates · Provide leadership and direction to ensure maximum productivity at all times to ensure operational excellence · Initiate and supervise the implementation of effective organizational internal control systems in order to reduce company exposure and ensure effective control over all company Production and protect its assets · Propose improvement in terms of machinery, cost cutting, factory lay out and overall performance of the production activity Operations · Build an adaptive and agile Operations with rapid planning and integrated production. · Align the Operations with business goals by integrating sales and operations planning with business planning · Balances the risks associated with Operations and current plans and the option and contingencies to mitigate them · Adopt emerging technologies to ensure a reliable and predictable supply. · Create optimized schedules balancing production efficiency and delivery performance · Maximize output on bottleneck resources to increase revenue · Synchronize supply with demand to reduce inventories · Provide company-wide visibility to capacity · Enable scenario data-driven decision making Warehousing · Oversee organization-wide management of warehouses and inventory · Direct and manage compliance to incoming inspection protocols · Implement and adhere to transaction management best practices · Strategically manage warehouse in compliance with companys policies and vision · Oversee receiving, warehousing, distribution and maintenance operations · Setup layout and ensure efficient space utilization · Initiate, coordinate and enforce optimal operational policies and procedures · Adhere to all warehousing, handling and shipping legislation requirements · Maintain standards of health and safety, hygiene and security · Manage stock control and reconcile with data storage system Logistics · Direct or coordinate comprehensive logistical or reverse logistical functions for product life cycles, including acquisition, distribution, internal allocation, delivery, recycling, reuse, or final disposal of resources. · Work with other departments to incorporate logistics with company procedures and operations. · Recommend optimal transportation modes, routing, equipment, or frequency. · Create policies or procedures for logistics activities. · Resolve problems concerning transportation, logistics systems, imports or exports, or customer issues. · Monitor product import or export processes to ensure compliance with regulatory or legal requirements. · Direct inbound or outbound logistics operations, such as transportation or warehouse activities, safety performance, or logistics quality management. People Management · Manage the teams performance, enhance their skills and competencies. · Carry out quarterly performance review using the appraisal tool to monitor progress and ensure the team meets their set targets within the required timelines and motivate them to reach targets. · Hold each manager accountable for delivering results Preferred candidate profile · Minimum of a Bachelors Degree in Food Science and Technology or Operations Management or Logistics · 10+ years of experience in a Manufacturing of Food products with emphasis on Quality Management, Production Process Management · Proven experience in data mining, analysis, and reporting · Strong working knowledge of Microsoft Office, relational databases, and ERP systems (e.g. EBIZ) · Understanding of integrated Operations and logistics concepts and theories. · Hands-on experience with logistics, inventory management, and procurement.
