Job Description : DOCUMENTATION MANAGER DRC French speakers only We are seeking a detail-oriented Documentation Manager to manage the full spectrum of export and import documentation for our physical commodity trading operations. The ideal candidate will ensure compliance with international trade regulations, Letter of Credit (LC) terms, and buyer requirements, while maintaining smooth coordination between internal teams, banks, customs, and logistics partners. Key Responsibilities: Documentation Preparation & Verification Prepare, review, and verify all required trade documents, including: Bills of Lading (B/L), Certificates of Origin, Commercial Invoices, Packing Lists, Inspection Certificates and Customs Declarations Regulatory & LC Compliance Ensure all documentation complies with international trade laws, LC conditions, and specific buyer/importer requirements. Manage and verify LC documentation to ensure strict adherence to terms and avoid discrepancies. Banking & Payment Coordination Liaise with banks for LC negotiation, document submission, and timely payment processing. Coordinate with the Finance team to align payment terms with contractual agreements and ensure fund flow is uninterrupted. Trade & Customs Compliance Keep updated with international trade regulations, including commodity-specific and country-specific documentation like ECTN, COC, and other pre-shipment documents required for African countries. Coordinate with customs brokers and freight forwarders to ensure timely and compliant customs clearance. Internal & External Stakeholder Collaboration Work closely with Sales, Logistics, and Finance teams to compile required data and documents for each transaction. Communicate changes in trade compliance regulations to relevant internal stakeholders. Risk Mitigation & Dispute Resolution Identify and resolve discrepancies in documentation that may affect shipment clearance or payment. Mitigate risks related to documentation delays, errors, or non-compliance. Operational Efficiency Ensure timely issuance of telex releases in coordination with customer payments to prevent delays at the destination port. Maintain organized, accurate records of all trade documents and correspondence. Continuously improve documentation processes and implement standardized procedures for operational efficiency. Bachelor's degree in International Trade, Logistics, Business Administration, or a related field. Minimum 12 years of experience in export/import documentation within the commodity trading or logistics industry. Proficiency in English and French Strong understanding of LCs, Incoterms, international shipping documents, and customs procedures. Familiarity with African trade documentation requirements (e.g., ECTN, COC). Excellent attention to detail, communication, and time management skills. Proficiency in MS Office and document tracking systems.
